The Associate Vice President for Advancement Services (AVP-AS) oversees the Advancement Services department to gather, organize, manage and disseminate information to guide the sound and effective advancement and overall business decisions for the University of Hawai'i Foundation. Establish principles, adhere to guidelines and apply technical solutions to minimize risk, and maximize philanthropic investment. Enhance the internal organization processes and infrastructure to support the mission and continuous growth of the University of Hawai'i Foundation. The position manages several functional area within the advancement services operation including gift processing, prospect management, reporting and analytics, prospect research and management, donor compliance and gift administration, and information technology.



Vice President for Administration and Chief Financial Officer



Specific responsibilities and performance expectations include:

Prospect Management

  • The AVP-AS oversees the Prospect Research Department to ensure that the enterprise applications facilitate a strategic, integrated program of prospect identification, research and donor management in support of major fundraising campaigns. In addition, the AVP-AS serves as the primary liaison between development, finance and IT divisions.
  • Promote and facilitate the culture of prospect research that is data-driven, active, transformative, and fuels a decision to support development staff in a collaborative partnership.
  • Promote and facilitate creative analytics to produce intelligence that can allow and actionable outcome with ability to present a documented chain of logic to support analytical methods.
  • The AVP-AS interacts with development leadership and prospect research department to support effective methods of identifying prospects for development officer portfolios.

Gift and Data Management

  • Provide leadership and guidance to a team of fundraising system specialists with responsibility for data entry, reporting, transaction, and philanthropy business support to field programs as well as a help desk for escalations on reporting, custom queries, and business procedures.
  • Oversee and advise the key members of the senior management on gift revenue activities, including gift and non-gift revenue from University of Hawai'i departments and supporting organizations.
  • The AVP-AS interacts with the management team to monitor and validate the organization's gift processing and acceptance policies.
  • Provides analytical support to the management team including development of internal management reporting capabilities.
  • In coordination with the Controller and Gift Processing Manager, analyze and recommend gift revenue accounting procedures aligned with industry best practices on gift and revenue reporting.
  • Oversee the progress of biographical projects, by coordinating and delegating projects to ensure data integrity by analyzing bio integrity reports with data received from returned mail, schools and departments, via online community, email, internet paid sources and various internet and media sources.

Information Technology Services

  • Provides technology vision and leadership in the development and implementation of the University of Hawai'i Foundation information technology system. Lead the organization in planning and implementing enterprise information systems to support development, communication and financial services operation and achieve more effective and cost beneficial enterprise-wide IT operations.
  • The AVP-AS reviews all computerized and manual systems; information processing equipment and software for acquisition, storage and retrieval; and definition of the strategic direction of all information processing and communication systems and operations.
  • The AVP-AS interacts with the executive management team to monitor and validate the organization's compliance with its security policies, which includes but is not limited to FERPA and PCI compliance.

Gift Administration and Donor Compliance

  • Work closely with UH Foundation leadership, and Compliance and Administration to facilitate donor compliance programs, which includes gift acceptance and use of funds.
  • In coordination with Compliance and Administration department, establishes and updates gift processing and acceptance policies, procedures, systems in accordance with taxation rules and regulations.
  • Coordinate and facilitate training programs and administrative systems for gift processing, acceptance and management for development staff.
  • Serves as departmental expert on IRS guidelines and CASE reporting standards.


  • The AVP-AS sets department goals and standards; participates in high-level and interdepartmental projects. Provides strategic insight and cross-program analyses, and makes recommendations to optimize resources throughout the organization.
  • Promotes a culture of high performance and continuous improvement that values learning and a commitment to quality.
  • Establishes and monitors staff performance and development goals, assign accountabilities, set objectives, establish priorities, conduct annual performance appraisals, and administer salary adjustments.
  • Support the Vice President for Administration/Chief Financial Officer and the Controller as an assistant treasurer.



The AVP-AS will meet annually with his/her supervisor to put in place a plan for the year. At the end of each year, the AVP-AS and his/her supervisor will review progress toward the annual goals.

  • Minimum of a BA or BS, ideally with an MBA
  • More than 10 years of experience in higher education advancement sector and experience with major fundraising and financial database systems.
  • Knowledge of current trends in fundraising, marketing and economics, including benchmarking and metrics
  • Strong operational experience: ideally has worked in a senior management role in a socially responsible organization with progressive experience in operational/administrative management
  • Skills should include organizational development, personnel management, budget and resource development, and strategic planning; demonstrated success developing and monitoring systems to manage both operational and programmatic work that involve high levels of collaboration
  • Excellent people skills, with an ability to partner with a dynamic leadership team
  • Personal qualities of integrity, credibility, and commitment to the mission of University of Hawai'i Foundation
  • Flexible and able to multi-task; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems.

Based at the University of Hawaii at Manoa campus, the position might involve some travel, mostly by auto. Employee must have a valid driver's license and acceptable driving record. The employee will need to work some weekends and evenings and must be able to work to the demands of the position, which may exceed a 40 hour work week.
